Privacy policy
Last updated: August 2026
Artexture Studio respects your privacy and is committed to handling personal information carefully and transparently.
This Privacy Policy explains how Artexture Studio collects, holds, uses and discloses personal information when you visit this website, make an enquiry, place an order, supply photographs, participate in the commission process or otherwise communicate with us.
The Artexture Studio website and online store are powered by Shopify. Shopify and other service providers may process personal information to help operate the website, process payments and provide related services.
This policy does not treat your use of the website or purchase of a portrait as consent to unrelated marketing or public use of your photographs or commissioned artwork. Separate permission will be requested where required.
PERSONAL INFORMATION WE COLLECT
Depending on how you interact with Artexture Studio, we may collect:
• Your name, email address, telephone number, billing address and delivery address
• Order details, portrait size, number of subjects, delivery requirements and payment status
• Photographs, descriptions and other information supplied for a portrait commission
• Personalised digital Artwork References, revision instructions and approval records
• Communications sent through email, website forms, social media or customer support channels
• Marketing preferences and records of any permission you provide
• Website and device information, including browser type, IP address, cookie information and website activity
• Information reasonably required to prevent fraud, resolve a complaint, comply with legal obligations or protect the website and its users
Artexture Studio does not independently store complete payment-card details. Payments are processed by Shopify and the payment providers made available through checkout. Artexture Studio may receive limited transaction information such as payment status, payment method and transaction reference details.
CUSTOMER PHOTOGRAPHS AND COMMISSION MATERIAL
Customer photographs are ordinarily supplied by email to info@artexturestudio.com together with the relevant Shopify order number or commission information.
Photographs and related information may be used to:
• Assess whether the photographs are suitable for the commission
• Select and combine appropriate photographic details
• Prepare the personalised digital Artwork Reference
• Complete the included revision process
• Create the approved hand-drawn charcoal portrait
• Communicate with the customer about likeness, composition and artistic direction
• Resolve questions, damage reports, complaints or other matters relating to the order
Artexture Studio may use digital editing, image-composition and AI-assisted creative tools when preparing an Artwork Reference. Where this occurs, copies of relevant photographs or commission information may be processed through carefully selected third-party technology providers for the purpose of developing and completing the commission.
Artexture Studio does not sell customer photographs or commission materials and does not intentionally use them to train general-purpose artificial-intelligence models.
Supplying photographs for a commission does not give Artexture Studio permission to publish the photographs, Artwork Reference or finished portrait.
PHOTOGRAPHS OF OTHER PEOPLE
If you supply a photograph showing another identifiable person, you confirm that you have their permission or another lawful authority to supply and use that photograph for the commission.
You should not provide photographs or personal information that you are not authorised to share.
Photographs may sometimes incidentally reveal information about a person’s health, racial or ethnic origin, religious beliefs or other sensitive circumstances. Please provide only the information reasonably necessary for the portrait.
CHILDREN’S PORTRAITS
The Artexture Studio website and purchasing process are intended for adults aged 18 years or older.
Artexture Studio may receive photographs of children when an adult commissions a child’s portrait or a family portrait. The adult supplying those photographs confirms that they are the child’s parent or legal guardian, or otherwise have appropriate permission to commission the portrait and supply the photographs.
Photographs or portraits of children will not be used publicly for portfolio, advertising or promotional purposes without separate and specific permission from an authorised adult.
If you believe a child has supplied personal information directly to Artexture Studio without appropriate permission, please contact us so the matter can be reviewed.
HOW WE COLLECT PERSONAL INFORMATION
Artexture Studio may collect personal information:
• Directly from you when you place an order, submit photographs, send an enquiry, approve an Artwork Reference or otherwise communicate with us
• Automatically through Shopify, cookies and similar website technologies when you use the website
• From payment, delivery, technology and other service providers involved in processing or completing your order
• From another person acting on your behalf, such as someone purchasing a portrait as a gift
If someone provides personal information on your behalf, we may take reasonable steps to confirm that they are authorised to do so.
HOW WE USE PERSONAL INFORMATION
Artexture Studio may use personal information to:
• Respond to enquiries and provide customer support
• Assess, accept and administer portrait commissions
• Develop Artwork References and create commissioned portraits
• Process payments and confirm transactions
• Arrange packaging, dispatch, tracking and delivery
• Provide order updates and other non-promotional communications
• Maintain business, accounting and legal records
• Prevent fraud, misuse and security incidents
• Improve the website, commission process and customer experience
• Manage complaints, refund requests and consumer-law obligations
• Send marketing communications where appropriate consent has been provided
We will not automatically add you to a marketing list merely because you made a purchase or submitted an enquiry.
HOW WE DISCLOSE PERSONAL INFORMATION
Artexture Studio may disclose relevant personal information to service providers where reasonably necessary to operate the business or complete an order. These may include:
• Shopify and its associated checkout, hosting and store services
• Payment processors and fraud-prevention providers
• Email, cloud-storage and business-software providers
• Digital editing, image-composition and AI-assisted creative service providers used to develop Artwork References
• Delivery, courier and postal providers
• Professional advisers such as accountants, insurers or legal advisers
• Government, regulatory or law-enforcement bodies where disclosure is authorised or required by law
Only the information reasonably necessary for the relevant service should be provided.
Artexture Studio does not sell, rent or trade customer lists, photographs or personal information.
RELATIONSHIP WITH SHOPIFY
Shopify provides the technology used to operate the Artexture Studio website and online store. Shopify processes customer information on behalf of Artexture Studio to provide store, checkout, security and related services.
Shopify may also process information for its own services, including Shop Pay or the Shop application, where a customer chooses to use those services.
More information about Shopify’s handling of customer information is available in Shopify’s Consumer Privacy Policy.
MARKETING COMMUNICATIONS
Artexture Studio may send promotional emails only where you have provided appropriate consent or where otherwise permitted by law.
Every promotional email will provide a clear method of unsubscribing. You may also withdraw your marketing consent by contacting info@artexturestudio.com.
Withdrawing from marketing will not prevent Artexture Studio from sending necessary non-promotional communications about an enquiry, order, Artwork Reference, delivery, complaint or legal matter.
PORTFOLIO AND PROMOTIONAL PERMISSION
Artexture Studio will request separate permission before using a customer’s photograph, Artwork Reference or commissioned portrait for public portfolio or promotional purposes.
Permission is optional. Refusing permission will not affect the price, quality or completion of the commission.
Any request for permission will explain the proposed use, which may include the Artexture Studio website, social media, portfolio, exhibitions, advertising or studio materials.
A customer may withdraw permission for future promotional use by contacting Artexture Studio. Withdrawal will apply to future use where reasonably practicable, but it may not be possible to recall material that has already been printed, distributed, shared or republished by third parties.
A person’s name, personal story or identifiable source photograph will not be published unless the permission provided covers that particular use.
COOKIES AND WEBSITE INFORMATION
The Artexture Studio website uses cookies and similar technologies operated by Shopify and, where applicable, other approved service providers.
These technologies may be used to operate the website, remember customer preferences, maintain security, process checkout activity, understand website performance and provide functions selected by the customer.
Where required, customers will be given choices concerning non-essential cookies through the website’s privacy or cookie controls.
Browser settings may also allow you to block or delete cookies. Disabling essential cookies may prevent parts of the website or checkout from functioning correctly.
THIRD-PARTY LINKS
The website may contain links to third-party websites or social-media services.
Artexture Studio does not control the privacy, security or content of independent third-party websites. You should review their privacy policies before providing personal information through those services.
SECURITY
Artexture Studio takes reasonable steps to protect personal information against misuse, interference, loss and unauthorised access, modification or disclosure.
Personal information may be held through Shopify, email systems, secured devices, cloud services and approved digital tools used to administer and complete commissions.
Access is limited to Artexture Studio and service providers who reasonably require the information to perform their services.
No electronic transmission or storage system can be guaranteed to be completely secure. Customers should avoid sending unnecessary sensitive information and should contact Artexture Studio promptly if they suspect that their information or account has been compromised.
RETENTION AND DELETION
Artexture Studio retains personal information only for as long as reasonably required to:
• Complete and deliver the commissioned portrait
• Provide appropriate post-delivery support
• Address refunds, damage, complaints or disputes
• Maintain accounting, transaction and legal records
• Establish or defend legal rights
• Meet obligations imposed by law
Customer photographs, Artwork References and working commission materials may be retained for a reasonable period after completion to address customer questions, order issues or agreed follow-up work.
When personal information is no longer reasonably required, Artexture Studio will take reasonable steps to delete or de-identify it, subject to legal, accounting, backup and record-retention requirements.
Customers may request deletion of photographs or commission materials after their order is complete. Artexture Studio will assess the request and explain if any information must temporarily be retained for a legal or legitimate operational reason.
INTERNATIONAL PROCESSING
Shopify and some payment, email, cloud-storage and digital creative service providers may store or process personal information outside Australia.
Overseas processing may occur in countries including Canada and the United States, as well as other countries in which the relevant provider or its approved service providers operate.
Privacy protections and legal requirements can differ between countries. Artexture Studio will take reasonable steps appropriate to its relationship with service providers and the nature of the information involved.
AUTOMATED PROCESSING
Shopify and payment providers may use automated systems for security, payment verification and fraud or risk screening under their respective privacy practices.
Artexture Studio does not itself use personal information in an automated computer program to make decisions that could reasonably be expected to significantly affect a customer’s rights or interests.

You may contact Artexture Studio to:
• Ask what personal information we hold about you
• Request access to that information
• Ask for inaccurate or incomplete information to be corrected
• Request deletion where applicable
• Withdraw marketing or promotional permission
• Raise a question about how your information has been handled
Artexture Studio may need to verify your identity before providing access to personal information or completing a request.
Some requests may be limited where information must be retained by law, relates to another person, is required to resolve an active matter or cannot reasonably be separated from protected business or legal records.
PRIVACY COMPLAINTS
If you have a concern or complaint about the handling of your personal information, please contact Artexture Studio and provide enough information for the matter to be assessed.
Artexture Studio will acknowledge and investigate the complaint and aims to provide a response within a reasonable period, ordinarily within 30 days.
